Safety First: Read Before Touching Anything

Commercial HVAC systems operate at high voltages (208V-480V) that can be lethal. Never attempt to open electrical panels, access rooftop units without safety gear, or touch internal components. The steps below are safe, external checks for facility managers.

Step 1: Check the Thermostat Settings

It sounds obvious, but 20% of "no cooling" calls are solved here. Ensure:

  • The system is set to "Cool" mode, not "Fan" or "Heat."
  • The setpoint is at least 3-5 degrees below the current room temperature.
  • The batteries in the thermostat are fresh (if battery-powered).
  • No one has accidentally engaged a "Vacation" or "Unoccupied" schedule override.

Step 2: Inspect Air Filters

A completely blocked filter stops air from moving over the cooling coils. Without airflow, the system cannot cool and may even freeze up.

  • Locate your return air grilles.
  • Visually inspect the filters. If they look like a gray felt blanket, they are clogged.
  • Replace them immediately if you have spares. If not, remove the dirty filter temporarily to see if airflow improves (but do not run the system without a filter for more than a few hours).

Step 3: Check Electrical Breakers

Locate your building's electrical panel.

  • Look for breakers labeled "HVAC," "AC," or "RTU."
  • If a breaker handle is in the middle (neither ON nor OFF), it has tripped.
  • Firmly switch it to OFF, then back to ON.
  • CRITICAL WARNING: If the breaker trips again immediately or makes a loud pop, STOP. Do not reset it again. This indicates a direct electrical short that could cause a fire. Call us immediately.

Step 4: Look for Ice

Check the copper refrigerant lines running to the unit (often visible in mechanical rooms or near the ceiling). If you see white frost or solid ice:

  • Turn the system OFF immediately.
  • Switch the fan setting to "ON" to help thaw the ice.
  • Call for service. A frozen system cannot be repaired until it is thawed, which takes hours. Turning it off now saves time later.
